Holiday Let Photo Checklist for Changeovers

A good changeover photo routine helps owners act quickly without turning every small mark into a panic. The aim is to capture the right maintenance evidence, not to photograph the whole property every time.

The five-photo changeover set

For most holiday-let repairs, the best report is short and consistent. A cleaner or keyholder should capture the room, the defect, the likely cause if visible, the access route and any guest deadline. That gives the owner enough context to authorise sensible next steps.

This is particularly important in Cornwall where access windows can be tight, summer diaries fill quickly and remote owners may be approving work from outside the county.

Guest-ready issues to prioritise

Not every mark needs immediate repair, but anything affecting access, safety, water, hygiene or a core guest facility should be escalated quickly. Loose stair trim, damaged thresholds, sticking locks, leaking taps and failed bathroom sealant can all become bigger problems if they are ignored through a busy run of bookings.

Presentation also matters. Small wall marks, damaged furniture details and tired high-contact finishes can affect reviews even when the property is otherwise clean and well-managed.

Access: locks, doors, keys and thresholds

Safety: loose boards, steps, rails and trip points

Water: leaks, staining, sealant and bathroom fittings

Presentation: wall marks, damaged trims and guest-facing finishes

How cleaners and owners can work together

Cleaners should not be expected to diagnose every repair, but they are often the first people to spot a problem. A simple photo checklist gives them a way to report issues without long explanations, while the owner or property manager can decide whether Coast & Quay should quote, inspect or schedule the work.

For recurring faults, keep the images attached to the property record. If the same door, bathroom, deck or kitchen fitting keeps appearing in reports, it may be better handled through a planned maintenance visit or care plan.

FAQs

Common questions

Who should take holiday-let maintenance photos?

Usually the cleaner, keyholder, owner or property manager, as long as the photos avoid guest privacy and show the issue clearly.

What should be reported urgently?

Access problems, safety issues, leaks, electrical concerns, failed locks, broken fittings and anything that affects the next guest stay.

Can small repairs be handled between guests?

Sometimes, yes. It depends on access, parts, timing and whether the repair can be completed safely before arrival.

Should every changeover include photos?

A full photo set is not always needed, but known problem areas and new damage should be photographed consistently.

Can this link to a care plan?

Yes. Repeat changeover issues are often a sign that scheduled checks and planned repairs would save stress.
